Job Title: Payroll Analyst

Location: 12301 Kurland Drive, Suite 400, Houston, TX 77034.

Primary Function:

The Payroll Analyst is responsible for performing accurate and timely in-house payroll processing and managing all associated federal, state, and local tax filings. This role ensures payroll data integrity, compliance with regulatory requirements, and supports HR and Finance with payroll reporting and analysis. Strong analytical skills, attention to detail, and working knowledge of payroll tax regulations are essential.

Duties & Responsibilities

Employee may be called upon to perform any or all the following functions:

In-House Payroll Processing

  • Process full-cycle payroll, including validating hours worked, earnings, deductions, bonusses, and adjustments
  • Perform pre- and post-payroll audits to ensure accuracy and resolve discrepancies.
  • Coordinate with HR to ensure accurate employee onboarding, changes, and separation.
  • Maintain deadlines and workflow documentation
Payroll Tax Filings & Compliance
  • Prepare, file, and remit all payroll tax obligations, including federal, state and local withholding.
  • Complete quarterly and annual filings (941, 940, state returns, W-2, ect.).
  • Reconcile payroll tax accounts and ensure prompt resolution of discrepancies.
  • Manage state and local tax registrations, SUI rates, and account setups.
  • Respond to and resolve tax notices directly with agencies.
  • Monitor regulatory changes and ensure ongoing compliance.
Reporting & Analysis
  • Generate payroll, tax and analytical reports for Finance, HR, and leadership.
  • Support monthly, quarterly, and year-end reporting, reconciliations, and audits.
Systems Supports
  • Maintain payroll systems and ensure accurate configuration of tax and earnings codes.
  • Assist with payroll system upgrades, testing, and enhancements.
  • Document procedures and support continuous process improvement efforts.

Minimum Qualifications:

  • Strong understanding of payroll laws and multi-state payroll tax regulations.
  • Experience with in-house full cycle payroll processing.
  • Advanced Excel skills (VLOOKUP, pivot tables, reconciliations).
  • High attention to detail, accuracy and analytical problem-solving skills.
  • Strong Communication skills and ability to handle confidential information.
  • Experience responding to tax agency notices.
  • General accounting knowledge, including payroll-related GL reconciliations.
  • FPC or CPP certification.

Education/Experience:

  • Preferred bachelor’s degree in Accounting, Finance, Business Administration, HR or equivalent experience.
  • 2-5 years of in-house payroll experience, including payroll tax responsibilities.

Physical Requirements:

  • This position requires minimal physical effort.
  • Must be able to endure prolonged periods sitting at a desk and working on a computer for minimum of 8 hours a day.
  • While performing the duties of this job, the employee will primarily work indoors, with occasional outdoor exposure to year around weather conditions and noise.
  • Must be able and willing to travel overnight for trainings and/or meetings as required (10%)
  • Working extended hours, including weekends, may be required periodically.
  • May occasionally lift up to 25 pounds at a time.
