Job Title: Subcontracts Coordinator
Job Location: 12301 Kurland Drive, Houston, TX 77034.
Primary Function:
As a member of the procurement team, the Subcontract Coordinator may handle the subcontract process by performing tasks including scheduling, processing of invoices, lien waivers and/or receivers, and compiling vendor lists for the bid process. Day-to-day assignments may be more specialized, but knowledge of all tasks indicated is expected. At this level, the Subcontracts Coordinator should be able to work independently with minimal supervision and serve as a resource for the processes and standards in the department.
Duties & Responsibilities
Employee may be called upon to perform any or all of the following functions:
- Learn and apply corporate standard procurement processes and procedures
- Prepare subcontracts and follow-up to receive appropriate approvals
- Schedule subcontract activities per project
- Compile vendor lists based on project bill of materials for both materials and subcontracts for use in the bid process
- Collect and organize receivers and/or lien waivers from job sites, match to appropriate invoice or subcontract and collect signatures for payment authorizations
- Interact with Project Managers, Construction Managers, other Purchasing Department team members and the Accounting Department to ensure that all invoices and subcontracts are processed correctly and at the appropriate time.
- Process invoices daily and code with appropriate job and PO numbers for subcontracts and/or materials
- Confirm that invoices possess the correct pricing, research any discrepancies and contact vendors to work through any issues
- Maintain electronic files for all jobs
- Carries out other duties as assigned
Minimum Qualifications / Experience
High School Diploma, or equivalent, is required. Associates degree in supply chain, procurement, accounting, business or equivalent field is preferred.
- Experience: Minimum of one year of experience working in Accounts Payable is required.
- Skills:
- Demonstrated proficiency with Microsoft Office Suite (Outlook, Word, Excel)
- Demonstrated attention to detail to accurately process invoices and review data entry
- Ability to define problems, collect data, establish facts and draw valid conclusions
- Proven communication skills, both oral and written, to convey thoughts, ideas, and facts to a diverse group of individuals from co-workers, managers, and employees of other divisions
- Ability to prioritize and work in a fast-paced environment to meet all deadlines
Physical Requirements:
- This position requires minimal physical effort.
- Must be able to endure prolonged periods sitting at a desk and working on a computer for a minimum of 8 hours a day
- While performing the duties of this job, the employee will primarily work indoors, with occasional outdoor exposure to year around weather conditions and noise.
- Must be able and willing to travel overnight for trainings and/or meetings as required (10%)
- Working extended hours, including weekends, may be required periodically.
- May occasionally lift up to 25 pounds at a time.
