Position Title: Administrative Assistant
Location: 12301 Kurland Drive, Suite 400, Houston, TX 7703
Primary Function
This position will support the engineering team by organizing training lunches, tracking training attendance, managing document reproduction, and shipping project documentation to clients and team members
Duties & Responsibilities
Employee may be called upon to perform any or all of the following functions:
- Send invitations and track attendance for Continued Learning Lunches (Vendor Lunches, Dashiell U, Mentorship Lunches).
- Coordinate lunch details and setup with Engineers and Vendors
- Order and set up food for Continued Learning Lunches.
- Prepare and clean conference rooms before and after lunches.
- Maintain records of lunch and learn attendees, including pulling reports from Teams and contacting remote office team leads.
- Organize and archive past lunch and learn materials.
- Oversee document control activities on projects, ensuring quality standards are met.
- Communicate effectively with management, clients, vendors, and project team members.
- Scan, image, organize, and maintain documents and filing systems.
- Perform quality assurance checks on outgoing transmittal packages.
- Handle basic to intermediate word processing, spreadsheet, and database tasks.
- Monitor, maintain, and replenish large-scale printing devices.
- Mail and distribute documents, parcels, and other materials.
- Adhere to company policies and procedures
- Perform special projects and complete other duties as assigned or requested
Minimum Qualifications / Experience
High School diploma or equivalent is required. Minimum of one year of prior office experience required; engineering industry preferred. Must have current driver’s license.
Possess skills in the following areas:
- Proficient in MS Office and Windows operating system
- Proficient with express shipping software, such as Federal Express and UPS
- Excellent written and verbal communication skills
- Ability to conduct yourself and perform job duties in a professional manner
- Ability to work in a team environment
- Ability to prioritize, manage time well, troubleshoot, and work in a fast-paced and deadline driven environment
- Must be organized and detailed oriented with the ability to multi-task
- Flexibility to work occasional overtime
Physical Requirements:
- Ability to sit for extended periods while working at a computer
- Frequent use of hands and fingers for typing, writing, and operating office equipment
- Ability to stand for long periods of time
- Ability to lift 25 lbs. on a regular basis

- Work is primarily performed in a climate-controlled office environment
