Primary Function 

The Proposal Coordinator supports the commercial operations and project development team by coordinating responses to Requests for Information (RFIs), Requests for Quotation (RFQs), Requests for Proposal (RFPs), and Statements of Qualification (SOQs), as well as client presentations that support the pursuit of new business. Working with minimal supervision, the Proposal Coordinator plans, develops, and assembles compliant, professional proposal packages and serves as a resource for departmental proposal processes and standards. The position will be based in our Houston, Texas office located at 12301 Kurland Drive STE 400, Houston, TX 77034. 

Duties & Responsibilities 

Employee may be called upon to perform any or all of the following functions: 

  • Learn and apply corporate standard sales and proposal processes and procedures. 

  • Review solicitations to identify submission requirements, evaluation criteria, and deadlines; develop compliance matrices and proposal schedules. 

  • Coordinate end-to-end proposal development, including schedules, action items, and deadlines, gathering inputs from estimating, engineering, project management, legal, and executive contributors to assemble technical and commercial content. 

  • Work closely with estimating and project staff to organize the layout, design, and delivery of RFP and RFQ responses. 

  • Draft, edit, and proofread proposal content for clarity, accuracy, and consistency, including engineering bills of materials, pricing request forms, project schedules, and comments and clarifications. 

  • Create proposal templates using Outlook, Word, Excel, and other applicable software. 

  • Build and maintain resumes, project sheets and case studies, reference lists, org charts, and other proposal templates in a searchable content library; tailor materials to each opportunity. 

  • Comply with Dashiell standards to present a consistent appearance across all responses. 

  • Coordinate multiple proposal efforts simultaneously across diverse markets and service offerings. 

  • Ensure customer contact information and RFQ/RFP files are maintained and up to date. 

  • Support proposal presentations by compiling content, building decks, and preparing speaker notes. 

  • Maintain accurate opportunity data, next actions, and win/loss metrics; generate pipeline and performance reports as requested. 

  • Maintain secure, well-organized electronic files for all pursuits. 

  • Contribute to continuous improvement and share best practices and lessons learned with peers. 

  • Perform special projects and complete other duties as assigned or requested.

  • Enable leadership to make informed pursuit decisions through accurate opportunity data, pipeline reporting, and win/loss tracking. 

Minimum Qualifications / Experience 

Required 

  • High school diploma or equivalent required. 

  • Aptitude for managing multiple, concurrent proposals in a fast-paced, deadline-driven environment. 

  • Ability to interpret RFP and RFQ instructions and evaluation criteria and to develop compliance matrices and schedules. 

  • Strong writing, editing, and proofreading skills with excellent grammar, spelling, and punctuation. 

  • Proficiency with Microsoft Office (Word styles, sections, and tables of contents; PowerPoint; Excel) and Adobe Acrobat (PDF assembly and bookmarking). 

  • Good organizational skills, including development of work plans, version control, and the ability to multitask effectively. 

  • Strong interpersonal skills with the ability to collaborate and communicate at all levels of the organization and with external partners. 

  • Ability to identify problems, propose solutions, and drive issues to resolution under tight deadlines. 

  • Willingness to work flexible hours during peak deadlines; limited travel (up to 10%) may be required. 

  • Driving is not required for this position. 

Preferred 

  • Associate’s or bachelor’s degree in marketing, business, communications, technical writing, engineering, or a related field. 

  • Minimum of 2 years of experience in a proposals, marketing, or sales operations role. 

  • Experience in EPC, industrial, or energy markets. 

  • Experience with Adobe InDesign or Illustrator and RFP tools such as RFPIO, Loopio, or Qvidian. 

  • Familiarity with CRM platforms such as Salesforce or HubSpot. 

Physical Requirements 

  • Ability to sit for extended periods while working at a computer. 

  • Frequent use of hands and fingers for typing, writing, and operating office equipment. 

  • Ability to communicate effectively verbally and in writing. 

  • Ability to occasionally stand and walk within an office environment. 

  • Ability to lift up to 10 pounds occasionally.
