Manage the day to day support needs of the Project Management Department

Education / Experience
Bachelors Degree in Business, Construction Management or related field preferred
Extensive knowledge and demonstrated experience in leadership and team building

Possess skills in the following areas:
  • Proficiency in MS Office and Windows operating system
  • Basic understanding of financial analysis and math
  • Ability to work independently and within a team on a variety of projects, receive instructions from a number of different people and meet deadlines
  • Strong written and oral communication skills
  • Excellent organizational habits
  • Ability to work in a fast-pace, multi-task environment
  • Flexible professional willing to adapt skills to meet department needs
  • Ability to learn our business and become a strong contributor

Duties & Responsibilities
Employee may be called upon to perform any or all of the following functions:
  • Supervise Project Management clerical support staff
  • Maintain proficiency in company accounting software
  • Manage and process department records and files
  • Responsible for department weekly timesheet reporting
  • Responsible for department credit card and expense report processing
  • Responsible for department mail and project construction package distribution
  • Participate in the implementation of department procedures
  • Perform department support tasks with minimal supervision
  • Interact directly with department staff, purchasing, sales, engineering, clients and vendors
  • Interact with Accounting Department on client invoicing, budgets, performance reporting, forecasts and other tasks
  • Prepare monthly, bi-monthly, and special reports, as requested
  • Assist staff with various requests for safety supplies, phones, air-cards, and other items needed to perform their work
  • Maintain records for company vehicles and manage leases, insurance, licenses, gas cards and registration records
  • Schedule project meetings, luncheons and travel arrangements
  • Take personal responsibility for the quality and accuracy of his/her work
  • Other duties as required
